The 3-system problem

You don't run a hotel. You don't run a conference center. You run both — plus catering, plus housekeeping, plus the books.

And you're doing it with software that was never designed for any of it. A hotel PMS that fights you every time a group wants to buy out half the property. An event tool that doesn't know what a cabin is. An accountant cleaning it all up three weeks late.

🏨
Your "hotel PMS"
$12K–$18K a year to model your lodge as a strip-mall Holiday Inn. No concept of a bunk room. No concept of a group hold. No concept of a full-site buyout.
📋
Your event spreadsheet
Forty tabs. Two people editing at once. One meal-count row that's been wrong since June. No personalized agendas. Badges printed on Thursday at 11 PM.
🧾
Your month-end close
Every invoice, every deposit, every damage charge — re-keyed into QuickBooks by hand. The bookkeeper has questions. The director doesn't remember.

Three systems. Three bills. Three places the data lives. One Playbook replaces all of it.

Every bed you rent · every site you book

Eight lodging types.
One reservation system.

Every unit has its own capacity, bed layout, amenities, cleaning checklist, and seasonal rate card. No forcing a cabin into a "hotel room" data model.

AR · AP · Rates · Taxes · GL

Your bookkeeper
will thank you.

Every reservation, session fee, damage charge, and deposit is already a GL line — with a category, class, and location tag. Close the month in one afternoon, not three.

AR & AP ledgers

  • AR — invoices, statements, aging 30/60/90, auto-reminders
  • AP — vendor bills, approval workflows, 1099 tracking
  • Deposits, refunds, cancellation fees, rollovers to next season
  • Incidentals — damage, late checkout, lost key, extra linens
  • Auto-match payments against invoices and holds
  • Partial payments, payment plans, NSF handling

Rates & taxes

  • Seasonal rate cards: peak / shoulder / off-season
  • Weekday vs. weekend, holiday premium rates
  • Group, corporate, non-profit / clergy, comp policies
  • Lodging tax, meals tax, sales tax — per jurisdiction
  • Tax-exempt 501(c)(3) handling with certificate upload
  • Service fees, gratuities, F&B markups per meal plan

Multi-entity GL

  • Multi-location, multi-entity, inter-company tagging
  • Class, department, fund-accounting tags on every line
  • Chart of accounts mirrors QuickBooks / Xero / Sage Intacct
  • One-click GL export (daily, weekly, monthly close)
  • Deferred revenue recognition for deposits & prepays
  • Full audit trail on every edit, every refund, every cent

Board-ready reporting

  • Revenue by program, property, season, unit type
  • Occupancy, RevPAR, ADR across all lodging types
  • Group pipeline — tentative, hold, confirmed, in-house
  • Repeat-guest cohorts and lifetime value
  • Board pack PDF generated monthly, scheduled emails
  • Forecasts pre-populated from pipeline + historical rates

Only us

One P&L.
Every program. Every season. Every property.

Most retreat centers have a lodging P&L in a hotel PMS, an event P&L in a spreadsheet, and an "everything else" P&L in QuickBooks. Nobody sees the whole picture until the accountant glues it together in April. On Playbook, your board dashboard shows real-time revenue by program, property, season, and unit type — because every dollar was tagged at the point of sale.

Sample FY dashboard
Fall retreats (lodging)$284K
Winter conferences$412K
Weddings & rentals$156K
RV / campground fees$68K
F&B / catering$188K
Non-summer revenue$1.1M
Illustrative figures — every property's P&L will look different.
Who runs on Playbook Retreats

Built for properties that host the whole year.

Six archetypes we see again and again — each one tired of stitching three systems together.

Faith-based retreat centers
Weekend men's / women's retreats, clergy conferences, youth lock-ins, fellowship gatherings. Often non-profit with clergy rates and tax-exempt considerations.
💼
Corporate offsites
Team retreats, leadership summits, onsite trainings with catering. Expect itemized invoices, W-9s, and net-30 terms.
🎓
University & alumni groups
Greek retreats, reunion weekends, board-of-trustees gatherings. PO-driven, often tax-exempt, complex deposit schedules.
🧘
Wellness & yoga retreats
All-inclusive weekends, teacher trainings, silent retreats. Room + program + meals priced as a package, not line items.
💍
Weddings & family reunions
Private buyouts, tented receptions, full-property rentals. Deposits months in advance, damage holds after.
🏕️
Campgrounds & RV parks
Seasonal sites, nightly walk-ins, bathhouse / dump-station tracking, monthly and annual site rentals.
Simple, seasonal pricing

One flat fee.
No per-booking surcharge.

Hotel PMS vendors charge per room, per booking, per guest. We don't. Your volume is your business — not ours to tax.

Common questions

Things we get asked a lot.

Do we have to use all three modules? +
No. Many properties start with just lodging reservations, layer events on in year two, and migrate accounting over on year three. Every module works standalone, they just compound when combined.
Can you import from Cloudbeds / Little Hotelier / Retreat Booking Guru? +
Yes. We migrate your unit inventory, rate cards, active reservations, and group contacts. For accounting, we can pull the last 24 months of journal entries so you keep historical reporting intact.
Do you replace QuickBooks entirely? +
Most customers keep QuickBooks (or Xero / Sage Intacct) as their general ledger — Playbook posts every booking, charge, and payment into the GL automatically. A few smaller retreat centers run Playbook as their sole accounting system. We'll walk you through the trade-offs on the tour.
What about credit card processing? +
Stripe is built-in at standard 2.9% + $0.30. ACH is 0.8% capped. No percentage markup, no "platform fee" sitting on top. You can also bring your own Stripe account.
We host weddings — does that work? +
Yes. Full-property buyouts, multi-night packages, vendor coordination (caterer, florist, DJ, officiant), damage holds, and post-event reconciliation are all first-class concepts in the events module.
Do you also handle summer camp? +
That's actually where we started. If your property runs a summer camp program, see Camp Playbook — it bundles with Retreats for one combined rate.
Send us your booking sheet

Already have a booking sheet?
We'll load it into Playbook.

Send us whatever you've got — your rate sheet, inventory list, upcoming group manifests, your retreat calendar, last quarter's AR aging, a photo of the whiteboard in the booking office. We'll pull it into Playbook and show it back to you live on the tour.

  • Accepts PDF, Excel, Word, CSV, Google Sheets exports, or photos.
  • We do the formatting clean-up — no reformatting required on your end.
  • Pick: have us integrate it into the platform, or walk through it together on a 20-min tour.
  • Zero commitment. Your files are used only for the tour unless you choose to move forward.

Submitting opens your email app with the message pre-filled. You'll just need to attach the files listed above and hit Send. We reply within 4 business hours.
